Remote Director’s Assistant
Yellow Bird Academy is seeking an exceptionally organized, emotionally intelligent, resourceful individual to work closely with our Founder & Director as a Remote Director’s Assistant.
We are a rapidly growing, mission-driven educational organization devoted to humanities return to the sovereign center, consciousness expansion, guiding embodied awareness, personal development, and the exploration of human potential.
Behind that mission is a living organization that requires thoughtful communication, strong systems, attention to detail, adaptability, and people who genuinely care about the work they put into the world.
We are looking for someone who can help us care for that infrastructure.
This is not simply a task-based virtual assistant position. We are looking for someone with the potential to become a trusted right hand to our Director someone who can learn how the Academy operates, anticipate needs, solve problems, create order, support our students, and grow alongside the organization.
The position will begin part-time, with significant potential for increased hours, responsibility, compensation, and potentially a full-time role as the Academy continues to grow.
The Position
This role is primarily remote and will initially require approximately 4 hours of work per weekday, Monday through Friday.
While the work itself will largely be completed remotely, we are specifically seeking someone located in Central Florida.
Initial training may include in-person time, and we anticipate approximately one in-person meeting per month as needed.
Some flexibility in when daily work is completed is possible, but consistent weekday availability and reliable communication are essential.
Starting compensation: $15/hourWhat You’ll Be Doing
Your responsibilities will evolve as you learn the Academy and demonstrate proficiency in the role. Initially, you may assist with:
Managing routine student support and helping students navigate the Academy
Monitoring, organizing, and responding to appropriate email inquiries
Student onboarding and follow-up
Certification administration and recordkeeping
Maintaining organized internal records and systems
Website updates and basic digital administration
Creating and maintaining SOPs, templates, workflows, and organizational systems
Researching tools, services, information, and potential solutions
Assisting with communications and preparing drafts for approval
Supporting special projects, launches, events, and new initiatives
Identifying opportunities to make existing processes more efficient
Using AI and digital tools to support research, organization, communication, and workflow
Handling miscellaneous administrative needs that arise as the Academy grows
Over time, the right person may take ownership of increasingly significant areas of Academy operations.
Who We’re Looking For
Skills matter. Experience matters.
But for this particular position, how you think, communicate, and respond when something unexpected happens matters just as much.
We are looking for someone who is:
Exceptionally organized. You naturally create order, remember details, keep track of loose ends, and notice when something has been overlooked.
Resourceful. When you encounter something unfamiliar, your first instinct is to investigate, learn, and find a solution.
Technologically adaptable. You don’t need to know every platform we use, but you should be comfortable learning new software and digital systems quickly.
An excellent communicator. You communicate clearly, warmly, professionally, and reliably.
Emotionally intelligent and self-aware. You can navigate feedback, disagreement, stress, and unexpected situations without allowing an immediate emotional reaction to determine your professional response.
Trustworthy and discreet. This role may eventually involve access to confidential communications, internal business systems, proprietary educational materials, and private student information.
Independent without being unilateral. You understand an important distinction: taking initiative does not mean making every decision yourself. You can recognize when something is yours to solve and when something belongs to leadership.
Accountable. Everyone makes mistakes. We value people who can recognize them, communicate about them honestly, correct them, and learn from them.
Growth-minded. You want to become better at what you do and are excited by the possibility of growing into greater responsibility.
Experience That Would Be Helpful
Previous experience in any of the following would be beneficial:
Administrative or executive assistance, customer or student support, online community administration, email management, digital course platforms, website editing, Canva, spreadsheets and databases, AI tools, automation platforms, workflow development, project coordination, or online business operations.
You do not need experience in every one of these areas.
We would rather hire someone with exceptional judgment, integrity, curiosity, and learning ability than someone who checks every technical box but isn’t the right human fit.
Understanding Our Work
Yellow Bird Academy exists within the worlds of consciousness, personal development, embodied awareness, spirituality, and human potential.
You do need to be capable of engaging respectfully and professionally with ideas and individuals who may hold perspectives different from your own.
Our organization and community are LGBTQ+ inclusive, and applicants must be genuinely comfortable working within and representing an inclusive environment.
We care deeply about creating a culture rooted in curiosity, personal responsibility, compassion, integrity, and respect.
An Important Note for Our Academy Community
For this particular position, we have intentionally chosen to hire outside of our existing Yellow Bird Academy student and participant community.
If you are currently enrolled in or actively participating in the Academy, we ask that you please do not apply.
This decision allows us to maintain clear boundaries between the student experience and employment within the organization while bringing new perspectives and professional experience into our team.
This Position May Be Especially Right for You If…
You’re the person people hand something complicated to because they know you’ll figure it out.
You notice the unanswered email.
You remember the thing everyone else forgot.
You enjoy turning chaos into systems.
You can research something you know nothing about and return with intelligent options.
You aren’t intimidated by learning new technology.
You care about details without losing sight of the larger purpose.
You can be trusted with access without confusing access with authority.
And when you don’t know, you ask.
If that sounds familiar, we would genuinely like to meet you.
